QuoteCart connects merchants (store owners) with trade users (customers) to create, manage, and convert quotations into orders seamlessly. Instead of back-and-forth emails and spreadsheets, everything happens in one organized platform.

For Merchants (Store Owners)

Getting Started

1. Set Up Your Account

When you sign up, you'll choose a subscription plan that fits your business needs. After registration, you'll be taken to your dashboard.

2. Connect Your WooCommerce Store

  1. Go to your Dashboard
  2. Click "Add Store" in the Stores card
  3. Enter your store details:
    • Store Name: A friendly name for your store
    • Website URL: Your WooCommerce store's website address
    • API Key: Your WooCommerce API key
    • API Secret: Your WooCommerce API secret

Where to find your API credentials: In your WooCommerce admin panel, go to WooCommerce → Settings → Advanced → REST API. Create a new API key with Read/Write permissions.

3. Invite Trade Users

Trade users are your customers who will create quotations. To invite them:

  1. Navigate to Trade Users in the sidebar
  2. Click "Add Trade User" or "Create Trade User"
  3. Enter the customer's name and email address
  4. Click "Send Invitation"

Your customer will receive an email invitation to set up their QuoteCart account. Once they accept, they can start creating quotations for your store.

Managing Quotations

Viewing Pending Quotations

When trade users send you quotations, they appear in your Dashboard under "Pending Quotations". You can see:

  • Quotation title
  • Customer name
  • When it was created

Click on any quotation to view details.

Reviewing and Quoting

  1. Open a pending quotation
  2. Review all products and quantities requested
  3. Edit Prices: Click on any product's price to adjust it to your quoted price
  4. Click "Quote Back" to send your pricing to the customer

Note: You can edit prices but not quantities in pending quotations. If you need to discuss quantities, contact the customer directly.

Merchant Draft (merchant_draft) Flow

QuoteCart supports a merchant draft workflow where you (the merchant) can create or finish a quotation on behalf of a trade user. This is useful when a customer calls/email orders, or when you want to do the setup for them and let them simply pay.

  1. Create the quote as a merchant: Build the quotation with the correct products, quantities, and pricing.
  2. Keep it in merchant_draft while you finalize: In this state, you can freely adjust products, quantities, and prices.
  3. Assign it to the trade user (when ready): Once assigned, the trade user can view the quote and continue the normal approval/purchase flow.
  4. Or convert it to an order for them: If you want the customer to only handle payment, convert the quotation to an order and send them the payment link.

Tip: Use merchant_draft when you need to do more than “quote back” (for example, changing quantities, swapping products, or building the quote from scratch).

Converting to Orders

Once a quotation is approved or you want to create an order:

  1. Open the quotation
  2. Click "Convert to Order"
  3. The system creates an order in your WooCommerce store
  4. A payment link is generated for the customer

Invoices / PDFs: Converted orders do not appear in the QuoteCart merchant “Converted orders” list. To generate/download an invoice PDF, open the order in your website backend (WooCommerce → Orders) and use the Actions menu to generate the PDF.

The quotation status changes to "Converted" and cannot be modified further.

For Trade Users (Customers)

Getting Started

1. Accept Your Invitation

When a merchant invites you, you'll receive an email with a link to set up your account. Click the link and create your password.

2. Access Your Dashboard

After logging in, you'll see your dashboard with:

  • Draft & Open Quotations: Quotations you're working on
  • Quoted Quotations: Quotations with merchant pricing
  • Pending Quotations: Quotations waiting for merchant response
  • Linked Merchants: Merchants you can create quotations for

Creating a Quotation

Step 1: Start a New Quotation

  1. Click "Create Quotation" from your dashboard or the Quotations page
  2. Enter a title for your quotation (e.g., "Q1 2024 Order")
  3. Select the merchant you want to quote from
  4. Select the merchant's store
  5. Click "Create Quotation"

Step 2: Add Products

  1. You'll see a product browser showing products from the merchant's store
  2. Search: Use the search bar to find specific products
  3. Filter: Use category filters or price ranges to narrow results
  4. Add Products: Click "Add" on any product to add it to your quotation
  5. Enter the quantity you need
  6. The product appears in your "Quotation Products" list

You can add multiple products and adjust quantities as needed.

Step 3: Review and Send

  1. Review all products in your quotation
  2. Check quantities are correct
  3. Click "Send to Merchant" when ready

The quotation status changes to "Pending" and the merchant will be notified.

Managing Your Quotations

Editing Draft Quotations

While a quotation is in "Draft" status, you can:

  • Add more products
  • Change quantities
  • Remove products
  • Edit the quotation title

Reviewing Quoted Prices

When a merchant quotes back:

  1. The quotation status changes to "Quoted"
  2. Open the quotation to see merchant's pricing
  3. Compare quoted prices with original prices
  4. Review all products and quantities

Making Changes After Quoting

If you need to modify a quoted quotation:

  1. Add, remove, or change product quantities
  2. The status automatically changes to "Open"
  3. Click "Resend to Merchant" to send your changes
  4. The merchant will review and quote again

Converting to Order

When you're ready to purchase:

  1. Open a quotation with "Quoted" status
  2. Review all prices and products
  3. Click "Convert to Order"
  4. You'll receive a payment link
  5. Complete payment through the merchant's WooCommerce checkout

After converting, you can use the buttons on the converted quotation to Pay for order (opens checkout).

After conversion, the quotation cannot be modified.

Understanding Quotation Statuses

Quotations move through different statuses as they're processed:

Draft

  • What it means: You're still working on the quotation
  • Who can edit: Trade users can add/edit/remove products
  • Next step: Send to merchant when ready

Pending / merchant_draft

  • What it means: Sent to merchant and currently in merchant draft for review/updates
  • Who can edit: Merchant can change anything
  • Next step: Merchant quotes back

Quoted

  • What it means: Merchant has provided pricing
  • Who can edit: Trade user can convert to order or make changes
  • Next step: Review and convert, or make changes

Open

  • What it means: Trade user modified a quoted quotation
  • Who can edit: Trade user can make further changes
  • Next step: Resend to merchant for re-quoting

Converted

  • What it means: Quotation has been turned into an order
  • Who can edit: No one - this is the final state
  • Next step: Complete payment through the provided link

  • Respond Quickly: Review and quote pending quotations promptly to keep customers engaged
  • Clear Pricing: Set competitive quoted prices that reflect your business terms
  • Stay Organized: Use clear quotation titles to track orders easily
  • Regular Reviews: Check your dashboard daily for new pending quotations

For Trade Users

  • Be Specific: Use descriptive quotation titles (e.g., "Office Supplies - March 2024")
  • Check Quantities: Double-check quantities before sending to avoid delays
  • Review Carefully: Always review quoted prices before converting to orders
  • Communicate Changes: If you need to modify a quoted quotation, resend it promptly
